Ideagen Mail Manager is the email filing and search add-in for Microsoft Outlook, built specifically for architecture, engineering and construction (AEC) firms. Request a free trial to test predictive filing, advanced search and project email retrieval with your team before purchasing.

How the trial works

  1. Submit the form above. A member of the Ideagen Mail Manager team will contact you to confirm your trial setup and provide license credentials.
  2. Install the Outlook add-in. The installer takes minutes. It embeds directly into your team's existing Outlook — no new software to learn, no change to how people send and receive email.
  3. Connect your filing locations. Point Ideagen Mail Manager to wherever your team stores project files — SharePoint, network drives, ProjectWise or other connected storage.
  4. Start filing and searching. File emails as you send and receive them. The machine learning engine begins learning your team's filing behavior immediately, with suggestions improving over time.
  5. Evaluate the results. Use the trial period to test the scenarios that matter most to your firm (see the evaluation checklist below).

Frequently asked questions about the Ideagen Mail Manager free trial

How long is the free trial?

The trial duration is confirmed when the Ideagen Mail Manager team contacts you after form submission. Trials are designed to give your team enough time to evaluate filing, search and retrieval across real projects.

Is the trial self-serve or does someone contact me?

A member of the Ideagen Mail Manager team will contact you after you submit the form to confirm your trial setup, provide license credentials and offer implementation support. This is not a self-serve download.

What happens to filed emails after the trial ends?

All emails filed during the trial remain in your own filing locations (SharePoint, network drives, etc.) because Ideagen Mail Manager does not host customer data. Your filed emails are unaffected regardless of whether you continue with a license.

Do I need administrator rights to install the trial?

The per-user installer does not require admin rights — it installs into the user's own profile. If your IT team prefers to deploy centrally, the per-machine MSI installer is also available (admin rights required for that method). See the installation guide for details.

Can I trial Ideagen Mail Manager with fewer than 5 people?

No. Ideagen Mail Manager requires a minimum of 5 licenses because the product is designed for team-based email filing. The value of consistent filing and cross-team search only becomes clear when multiple people on the same project are using it.

Is Ideagen Mail Manager only for AEC firms?

Ideagen Mail Manager is built specifically for architecture, engineering and construction. For firms outside AEC that use Microsoft 365 with SharePoint, Ideagen offers Mail Manager Enterprise (formerly OnePlace), which serves legal, professional services, financial services, healthcare and government sectors.
