Ideagen Mail Manager is the orchestration layer between Microsoft Outlook and wherever an AEC firm stores its project information. It files emails directly to the customer's own infrastructure — no data passes through or is stored on Ideagen's servers. This page covers every supported integration and what it enables.

SharePoint
Supports the filing and searching of messages located in SharePoint without the need to use locally synced folders.
Procore
Supports the filing and searching of messages in Procore by discovering the projects you have access to, avoiding the need to manually add locations.

Supports the filing and searching of messages located in Ideagen Collaboration Portal.
Microsoft Teams
Mail Manager's Team Chat Filer offers smart filing capabilities. This feature ensures that important chats and shared files are securely stored, easily accessible and organized based on custom criteria such as teams, project titles or departments.
OneDrive
This is most commonly used by smaller teams or individual users who store project files in OneDrive rather than SharePoint.
Filing and searching work the same way as with other destinations — emails are filed from Outlook in one click and indexed for Advanced Search.
ProjectWise
Filed emails sit alongside drawings, documents, and other project deliverables within ProjectWise, creating a complete project record that includes correspondence.
No locally synced folders are required — Ideagen Mail Manager connects to ProjectWise directly.
The data sovereignty principle
Across every integration, the same architectural principle applies: Ideagen Mail Manager does not host, store, or transit customer data through its own servers. It acts as the filing and search layer between Outlook and the customer's chosen storage destination. When a user files an email, it goes directly from Outlook to the destination — SharePoint, Procore, ProjectWise, a network drive, or other connected storage.
This means there is no vendor lock-in. If a firm stops using Ideagen Mail Manager, all filed emails remain exactly where they were filed, fully accessible, with no data retrieval process required.

No. SharePoint is one of several supported filing destinations. Ideagen Mail Manager also works with network drives, Procore, ProjectWise, OneDrive, and others. Firms that do not use SharePoint can file to whatever storage they already have in place.

Yes. Ideagen Mail Manager is available in the Procore App Marketplace, making it easy for Procore customers to evaluate and adopt.
No. The Team Chat Filer is a complement to email filing, not a replacement. Email remains the primary communication channel for most AEC project correspondence. The Teams integration ensures that conversations happening in Teams are also captured in the project record.
Ideagen Mail Manager transitions with you. When you connect a new storage destination, new emails are filed there. Previously filed emails remain accessible in the original location and are still searchable through Advanced Search. There is no need to migrate previously filed emails.
