William J Marshall are a firm of consulting engineers and architects, made up of 20-25 people. They specialize in forensic work which involves problem solving within the fields of engineering and architecture, often handling situations that are going to arbitration or court cases. An early adopter of Ideagen Mail Manager, they have been using the email management system since 2018 to make knowledge sharing easier and more accessible.
The problem
The main problem the firm experienced prior to having an email management solution in place was knowledge sharing. When multiple engineers were working on a job, an email often came in that had been addressed to one of them, but the other/s hadn’t been copied in. This meant the knowledge share would only occur if the addressee took the action to forward that information on.
They previously printed out copies of all this information to distribute manually, but that was becoming more and more impractical. While this information was accessible in hard copy, if the person who needed to access it wasn’t named or identified correctly, then it might not reach them and it made it harder for them to know it existed.
William J Marshall needed a way for everyone to be able to see all the information that was coming in and out on a job via email. It was also important to have a way to capture and retain that information for legal purposes.
The solution

Mark explained that many of the alternatives on the market emphasized the use case for their CRM, which wasn’t why the firm wanted an email management solution. They found there wasn’t anything that was really comparable to Ideagen Mail Manager at the time.
When asked to compare life at William J Marshall before and after using Ideagen Mail Manager, Mark commented, “It’s a pre- and post- digital world isn’t it? It’s a lot easier now for everybody to have the information you need at your fingertips, you can see all of the emails that have come in and gone out on a job, so it makes it a lot easier for us to file and access the data we need.”
In a nutshell, it’s given them the ability to easily file emails to central locations so everyone can access all the information associated with a project.
